Project Coordinator

About the Role

We are seeking a highly motivated Project Coordinator to join our team. The successful candidate will report to the Director of Product and engage daily with colleagues across departments, including Content. Preference will be given to candidates with a passion for adult education and a keen eye for detail. We are looking for someone who thrives in dynamic environments and has a proven track record of delivering projects on time and with high quality.


Key Responsibilities

1. Project Coordination:

  • Assist in planning, organizing, and tracking the execution and delivery of client and internal projects.

  • Maintain and update project timelines, ensuring deadlines are communicated clearly to all stakeholders.

  • Monitor project progress and escalate issues or delays to the appropriate team members or manager for resolution.

  • Leverage online project management and planning tools (e.g., Trello, Jira, MS Project) to organize tasks, track progress, and ensure timely completion of deliverables.

2. Collaboration:

  • Foster strong working relationships with internal teams and potentially external stakeholders.

  • Coordinate with writers, designers, editors, product managers, and developers to ensure tasks are completed on time.

3. Resource Allocation:

  • Track and document task assignments to team members based on project requirements for Content, Product, and Development teams.

  • Assist in identifying resource needs and communicate these to senior leadership for approval.

  • Track project-related expenditures.

4. Quality Control:

  • Collect and compile feedback from stakeholders to support the review and revision of project deliverables.

  • Ensure all deliverables adhere to project guidelines and quality standards before submission.

  • Regularly review and test processes to identify areas for improvement in project execution.

5. Administrative & Process Support:

  • Develop and maintain accurate project documentation, including schedules, reports, and communication records.

  • Organize meetings, prepare agendas, take meeting notes, and track action items to ensure follow-up.

Qualifications

  • Minimum of 3 years of experience in a project coordination role.

  • Strong communication skills.

  • Strong attention to detail.

  • Ability to work under pressure and meet strict deadlines.

  • Demonstrated ability to manage multiple projects simultaneously.

  • Exceptional organizational and time management skills.

  • Familiarity with Google Suite and/or Office 365, Trello, Jira, and online meeting tools.

  • Experience in high-trust working environments.

  • Bachelor's degree in a related field or equivalent experience.

Nice to have:

  • CAPM / PMP Certification.

  • Experience coordinating in an educational or online publishing environment.
